PRINTING GUIDE
From Our Hotel to Your Planner
Your files have arrived. Now it's time to bring your reservation to life.
The Paper Hotelz Printing Guide is designed to help you turn your digital/printable purchase into beautiful physical planner pages.
Whether you're printing at home or sending your files to a professional print shop, we recommend reviewing this guide before printing your complete order.
Printer models, paper, software, and settings vary, so always begin with one test page before printing an entire Room, Suite, or Penthouse.
BEFORE YOU PRINT
A Quick Pre-Printing Check-In
Before selecting Print, make sure you have:
✓ Downloaded the complete file
✓ Extracted any ZIP folders
✓ Saved the original file
✓ Created a backup
✓ Confirmed your purchased planner size
✓ Selected the appropriate paper
✓ Checked your printer settings
✓ Confirmed page orientation
✓ Printed one test page
One test page can save an entire stack of paper and ink.
PLANNER SIZES
The Paper Hotelz offers printable products in several sizes.
Not every product is available in every size, so always check the individual product description before purchasing and confirm the file size before printing.
A5
5.8" × 8.3"
A5 is a compact planner size that's ideal for everyday planning while remaining easy to carry.
A5 works beautifully for:
-
Daily planning
-
Weekly planning
-
Monthly planning
-
Trackers
-
Lists
-
Notes
-
Personal planning
-
Portable planner setups
Printing A5
If your printer supports A5 paper, you may print directly onto appropriately sized A5 sheets.
If you're printing an A5 design onto larger paper for trimming, make sure your printer settings preserve the intended dimensions of the page.
Always measure your first printed page before printing the entire planner.
TPH SIZE
7" × 10"
TPH is our signature The Paper Hotelz planner size.
It provides more writing room than A5 while remaining smaller and more portable than US Letter.
TPH Size is especially suited for:
-
Business planning
-
Daily planning
-
Weekly planning
-
Goal planning
-
Trackers
-
Schedules
-
Journaling
-
Lifestyle planning
Printing TPH Size
Because 7" × 10" is not a standard printer-paper size for many home printers, you may need to:
-
Print on larger paper.
-
Preserve the original 7" × 10" dimensions.
-
Trim the page to its finished size after printing.
Do not automatically use “Fit to Page,” as this may enlarge or shrink the design.
Print one test page, trim it, and measure the finished page before printing your full planner.
US LETTER
8.5" × 11"
US Letter is our full-size planning option and typically requires no trimming when printed on standard US Letter paper.
It's ideal for:
-
Business planners
-
Detailed worksheets
-
Financial planning
-
Project planning
-
Calendars
-
Schedules
-
Goal setting
-
Trackers
-
Planning pages requiring additional writing space
For products designed at US Letter size, use standard 8.5" × 11" paper unless the product instructions state otherwise.
PRINTER SETTINGS
Give Your Pages the VIP Treatment
Correct printer settings can make a significant difference in the final appearance and size of your planner pages.
Before printing, open your printer's settings or print dialog and review the options available.
Printer menus vary by manufacturer and software, so the exact wording may be different on your device.
ACTUAL SIZE / 100%
When you select Actual Size or 100% Scale, the printer attempts to print the design at the dimensions in which the file was created.
This is generally the preferred setting when maintaining the exact dimensions of planner pages is important.
For example, a page designed at 7" × 10" should remain 7" × 10" when printed at 100%, subject to the printer's printable area and settings.
Look for settings such as:
Actual Size
100%
Scale: 100%
Always print and measure one test page first.
FIT TO PAGE
Use With Caution
“Fit to Page,” “Fit,” “Shrink to Fit,” and similar printer settings automatically change the size of a design so it fits within your printer's available printing area.
That can be useful for some documents—but it can cause problems with planner inserts.
Using Fit to Page may:
-
Shrink your planner page
-
Enlarge your planner page
-
Change margins
-
Change the intended dimensions
-
Affect where punched holes will sit
-
Cause front and back pages to align incorrectly
Unless a Paper Hotelz product specifically instructs you to use Fit to Page, we recommend checking the final dimensions carefully before printing your entire product.
PORTRAIT VS. LANDSCAPE
Your printer needs to know which direction to place the design on the paper.
Portrait
Portrait pages are taller than they are wide.
Landscape
Landscape pages are wider than they are tall.
Most Paper Hotelz planner pages will indicate their intended orientation through the design itself.
If your print preview shows the page sideways, cropped, unusually small, or incorrectly positioned, check your orientation settings.
Always Check Print Preview
Before printing, make sure the preview matches the page you expect to receive.
BORDERLESS PRINTING
Some Paper Hotelz designs may extend artwork, backgrounds, or decorative elements to the edge of the page.
A printer capable of borderless printing may be needed if you want ink to reach the edge of the sheet without a white border.
Not all printers support borderless printing, and some support it only for certain paper sizes.
If your printer does not support borderless printing, you may see a small white margin around your page.
This does not necessarily mean there is a problem with your file.
For pages that will be trimmed, printing on larger paper may provide another option depending on your printer.
DOUBLE-SIDED PRINTING
Some planner pages may be suitable for double-sided printing.
If your printer has automatic duplex printing, look for an option such as:
Print on Both Sides
Two-Sided Printing
Duplex Printing
Before printing an entire planner double-sided, test two or four pages first.
Check:
-
Page order
-
Front/back alignment
-
Orientation
-
Margins
-
Punching side
-
Whether ink shows through the paper
If your printer doesn't support automatic duplex printing, you may be able to print one side, reload the paper, and print the reverse side manually.
Always test this process first because printers feed paper differently.
FLIP ON LONG EDGE VS. SHORT EDGE
When double-sided printing, your printer may ask whether you want to:
Flip on Long Edge
or
Flip on Short Edge
The correct choice depends on the orientation and design of the product.
Flip on Long Edge
This generally creates a book-style page turn for portrait documents.
Flip on Short Edge
This generally creates a top-flip effect for portrait documents or may be appropriate for certain landscape layouts.
Because printer behavior can vary, print a two-page test before printing the complete planner.
If the reverse side appears upside down, return to your settings and switch the flip option.
PRINT QUALITY SETTINGS
Your printer may offer quality settings such as:
-
Draft
-
Standard
-
Normal
-
High
-
Best
-
Photo
For planner pages containing detailed artwork, illustrations, decorative elements, or rich color, a High or Best quality setting may produce a more polished result.
However, higher-quality printing generally uses more ink and may take longer.
For everyday writing pages or mostly text-based inserts, a standard quality setting may be sufficient.
Choose the setting that works best for your printer, paper, and desired finish.
COLOR SETTINGS
Bringing the Paper Hotelz Aesthetic to Life
For color products, make sure your printer is set to Color rather than Black & White or Grayscale.
Remember that what you see on your screen and what your printer produces may not look exactly the same.
Final color can be affected by:
-
Printer model
-
Ink type
-
Ink levels
-
Paper color
-
Paper finish
-
Printer settings
-
Screen brightness
-
Monitor calibration
A test print is the best way to determine how your specific printer reproduces the design.
CHOOSING YOUR PAPER
The Right Paper Can Transform Your Planner
Paper affects how your planner looks, feels, writes, punches, and performs over time.
You are welcome to choose the paper that best suits your personal planner setup.
RECOMMENDED PAPER
For everyday planner pages, choose a smooth paper that works well with your printer and preferred writing tools.
Consider:
-
Smooth finish
-
Good opacity
-
Minimal ink bleed
-
Comfortable writing surface
-
Appropriate thickness for your planner
Before purchasing a large quantity of specialty paper, confirm that the paper is compatible with your printer.
PAPER WEIGHT
Paper weight determines how light or substantial your finished pages feel.
Standard/Lightweight Paper
Useful when you want:
-
More pages in your planner
-
Less bulk
-
Lower printing costs
Medium-Weight Paper
A great option for many planner inserts because it provides a more substantial feel without creating excessive bulk.
Heavy Paper
May work well for:
-
Dashboards
-
Dividers
-
Covers
-
Reference pages
-
Decorative inserts
Very heavy paper may not feed correctly through every home printer.
Always check your printer's supported paper weights before using cardstock or specialty paper.
BRIGHT WHITE VS. OTHER PAPER
Bright White
Bright white paper generally produces crisp text and makes colors appear cleaner and more vibrant.
It's an excellent choice for colorful Paper Hotelz pages.
Soft White or Cream
These papers can create a softer, warmer appearance.
However, the paper's natural color will influence the appearance of printed colors.
For example, blush pink printed on cream paper may look different from the same pink printed on bright white paper.
Your paper choice becomes part of the finished design.
CARDSTOCK FOR DASHBOARDS & COVERS
For printable dashboards, dividers, covers, and decorative pieces, you may prefer a heavier paper or cardstock.
Cardstock can give these pages:
-
More structure
-
Greater durability
-
A premium feel
-
Better separation between planner sections
Before printing on cardstock, verify that your printer supports the selected thickness.
For additional durability, certain dashboards or covers may also be laminated after printing.
STICKER PAPER
When a Paper Hotelz product specifically includes printable stickers, use paper designed for sticker printing.
Depending on the project, you may choose:
-
Matte sticker paper
-
Glossy sticker paper
-
Clear printable sticker paper
-
Other compatible printable adhesive media
Make sure the selected sticker paper is designed for your printer type.
Inkjet and laser printers may require different materials.
Always follow the sticker-paper manufacturer's printing instructions.
FINISHING YOUR PLANNER
Your Pages Are Printed. Now Let's Check Into the Planner.
Once you've printed your pages, you may need to trim, punch, laminate, or assemble them depending on your planner system.
CUTTING & TRIMMING
If you've printed a smaller planner size onto larger paper, the pages will need to be trimmed to their finished dimensions.
For the cleanest results, you may use:
-
Paper trimmer
-
Guillotine cutter
-
Craft knife with appropriate cutting surface
-
Professional cutting service
Use the dimensions provided with your product and measure carefully.
Measure Twice. Cut Once.
Always test your measurements on one page before trimming the entire stack.
HOLE PUNCHING
If your planner uses rings, coils, discs, or another binding system, your printed pages may need to be punched.
Before punching:
-
Confirm your final page size.
-
Determine the correct binding system.
-
Check the punch placement.
-
Test one page.
-
Insert the test page into your planner.
-
Confirm that it turns correctly.
-
Punch the remaining pages.
Punching errors generally cannot be reversed, so testing first is important.
DISC PUNCHING
For disc-bound planners, use a punch designed for your planner's disc system.
Before punching your entire collection:
-
Make sure the page has been trimmed to final size.
-
Confirm which side should be punched.
-
Align the page carefully.
-
Check the number and placement of punch holes.
-
Test one page in your planner.
-
Make sure the page turns freely on the discs.
Avoid forcing too many sheets into the punch at once, as this can damage your pages or create uneven holes.
TPH DISC-PUNCH STANDARD
TPH 7" × 10" pages use 10 mushroom holes.
Always confirm that your punch is properly positioned before punching your complete collection.
ASSEMBLING YOUR PLANNER
Once your pages are printed, trimmed, and punched, arrange them in the order that works best for your planning style.
You may organize your planner using:
-
Monthly sections
-
Weekly sections
-
Daily pages
-
Goals
-
Business categories
-
Projects
-
Finances
-
Wellness
-
Notes
-
Trackers
-
Custom categories
The Paper Hotelz provides the accommodations.
You decide how to decorate your room.
ADDING DASHBOARDS & DIVIDERS
Dashboards and dividers can help separate sections while adding personality and structure to your planner.
Consider placing them:
-
At the beginning of your planner
-
Between months
-
Between major planning categories
-
Before special collections
-
Around frequently used sections
You may print dashboards and dividers on heavier paper or cardstock for additional durability.
LAMINATING
Lamination can help protect pages that receive frequent handling.
You may consider laminating:
-
Dashboards
-
Dividers
-
Covers
-
Reference pages
-
Frequently used trackers
-
Decorative inserts
Important
Lamination adds thickness.
If you plan to punch a laminated page, make sure your hole punch or disc punch can safely accommodate the finished thickness.
Leave enough sealed laminate around the edges when trimming so the laminate doesn't separate.
PROFESSIONAL PRINTING
Let the Professionals Handle Your Luggage
Don't have a printer at home? Prefer a professionally finished result?
You may choose to have your Paper Hotelz printable files printed through a professional printing service.
Before submitting your files, review the following.
WHAT FILE SHOULD I PROVIDE?
Provide the professional printer with the original printable file included with your purchase.
Do not:
-
Screenshot the page
-
Send a social-media image
-
Print from a product mockup
-
Save a low-quality preview image
-
Alter the original file unless instructed
The original file is designed to provide the best available print quality.
WHAT SIZE SHOULD I REQUEST?
Tell the print shop the finished size of the product you purchased.
For example:
A5: 5.8" × 8.3"
TPH: 7" × 10"
US Letter: 8.5" × 11"
If the print shop will be trimming your pages, clearly state the desired finished dimensions.
Do not assume the employee automatically knows what “TPH Size” means. Tell them:
“The finished page should measure 7 inches by 10 inches.”
For TPH disc-bound pages, also tell the print shop that the finished page uses 10 mushroom-style disc-punch holes if you're asking the shop to punch the pages for you.
WHAT SHOULD I TELL THE PRINT SHOP?
Depending on your product, you may need to specify:
-
Finished page size
-
Color or black-and-white printing
-
Single-sided or double-sided
-
Paper type
-
Paper weight
-
Portrait or landscape orientation
-
Whether pages require trimming
-
Whether you want borderless printing
-
Whether dashboards should use cardstock
-
Whether anything should be laminated
-
Whether pages require disc punching
-
For TPH pages: 10 mushroom holes
If you're unsure, ask the print shop to produce a single sample page first.
ALWAYS CHECK A SAMPLE
Don't Print the Entire Penthouse Before Inspecting One Room.
Before approving a large print order, inspect a sample.
Check:
-
Finished dimensions
-
Color
-
Image quality
-
Margins
-
Orientation
-
Front/back alignment
-
Paper quality
-
Trimming
-
Punching space
-
Hole placement when professionally punched
Once you're satisfied with the sample, approve the remaining pages.
This is particularly important for large Suites, Penthouses, business planners, annual planners, and other products containing many pages.
